The Town Hall becomes pioneer within the application of this system which simplifies the administrative processes and enables an important saving of time and paper

Calvià processes invoices with a digital signature.

Calvià Town Hall within its wish of approaching the Administration to the citizens, has started the procedure of invoices with a digital signature project, heading, therefore, the Balearic municipal entities in digitalization, electronic administration and automation of the administrative processes.

This new system, which the Town Hall is working with, since last May, was presented during the Balearic Islands Quality Institutional Forum´s Workshop, celebrated at the end of last week, where it received, from the participating members, an unanimous applause.

The new procedure process with a digital signature, allows the processing and the signing of invoices with an electronic signature, which develops an improvement in the procedure process, the management and the economic information processing in a guaranteed security field. With this new procedure system, more efficiency and productivity is achieved by simplifying the administrative processes, saving paper or mechanizing procedures; more security, guaranteeing both the authenticity of the signature and the details appeared in all economic documents, the confidentiality of information as well as a remarkable saving of time regarding to the procedure of paper invoices, which has been done, up to now.

Consulting invoices from suppliers

But this project will involve, furthermore, in a short period of time, the opening of an “exterior window towards the supplier” through which the applicant will be able to have access and consult the state of the invoice through the Town Hall´s web site, with the electronic signature. This new procedure, which is expected to start functioning before the end of this year, is another step forward taken by the Town Hall in order to make the access to the services offered easier to citizens.

It is the Town Hall´s aim, to become a reference for the rest of public and private institutions in order to, also, adopt this new Digital Signature project, achieving therefore, an improvement of the service offered.

Finally, it is to be mentioned that this project has been started thanks to the work done of both Departments in the Town Hall, Information Technology and Economic Services, who together, analyzed which was the invoice procedure process and designed and introduced the new system. Therefore, training and information was offered to the different municipal areas and the workers were provided with adequate tools to be carried out.
