Calvià Town Hall has officially launched the new Electronic Archive Portal, a digital tool designed to facilitate citizen access to public data held by the Municipal Archive. This portal represents an important step in the council's commitment to transparency, administrative modernization, and enhancing the municipality's documentary heritage.
Calvià Town Hall is one of the public institutions in the Balearic Islands with the largest number of digitized collections. Furthermore, it is pioneer in the Islands in implementing an electronic archiving solution for finalized administrative documentation open to the public. In fact, Calvià is one of the local authorities in the State with the most information and documentation on an electronic Archive Portal.
In just a few years, it has gone from lacking its own file processor to becoming one of the public institutions with the most information and documentation stored on a new electronic archiving and preservation platform.
All municipal minutes, decree books, and activity records for the 2017-2018 financial year are currently being digitized. All of this documentation will soon be available on the Electronic Archive portal.
Through the Portal, and without prior identification, users can consult detailed information on:
Major works files managed by the Town Hall up to 2005. It is recommended to search using the first 14 digits of the cadastral reference.
Activity files processed up to 2018. It is also advisable to use the cadastral reference to speed up the search.
Urban planning documentation, including partial plans, general urban development plans and urban development projects.
Historical collection of the Municipal Archive, with access to the complete inventory and digitized documents for free consultation. This collection includes pieces of great historical value, with documents dating back to 1532.
From the Town Hall it is reminded that this Portal is for informational purposes and data consultation. If copies of files are needed, the request must be processed through the Electronic Office - in cases where the document displays the restricted object icon - or by appointment through the municipal website.
Calvià Town Hall was recognised at national level last March thanks to the award given to one of its young workers at the 15th edition of the National Congress on Innovation and Public Services (CNIS) held in Madrid. The Young Talent Award went to Albert Vich Nicolau, head of the document management section of the Town Hall. The recognition was given to the project entitled Más allá del papel: el gestor documental en la era de la digitalización masiva (Beyond paper: the document manager in the era of mass digitalization).
The project develops the figure of the document manager in the implementation of a file processor and an electronic archiving and preservation platform. The role of the document manager in the massive digitization process of public administration services implies optimal document management and aims to streamline processing and ensure proper documentation preservation.
With this initiative, Calvià Town Hall reinforces its commitment to digitization and open access to public information, bringing the municipality's documentary heritage to all citizens in a simple, transparent, and secure manner.
